The New Jersey law firm of Voto & Cavalli, Attorneys at Law, P.C. formed in 2022. The firm’s partners – Gary A. Cavalli and Jessica L. Voto – have nearly 50 years of combined litigation experience. They put those skills to work fighting for injured people in personal injury, wrongful death, and medical malpractice cases.
As a small firm handling complex cases often worth millions of dollars, Voto & Cavalli needed case management software to streamline processes, save time, and keep workflows moving smoothly. And efficiency is critical in a practice area that operates on a contingency fee basis rather than hourly.
Before Neos, the firm was on Needles (the on-premises precursor to Neos, also created by Assembly) and found they weren’t getting maximum value from Checklists due to the large number of unnecessary or irrelevant items they could not remove. Additionally, they relied on VPN access outside the office, which could slow things down and limit the devices attorneys and staff could use remotely. They wanted to modernize their case management workflows with a more user-friendly, configurable interface and effortless remote access.
The ability to access Neos from anywhere with an internet connection has expanded options for the firm, empowering them to access all their files and data through smartphones, tablets, laptops, and other devices quickly and at faster processing speeds to connect.
“To not need to use VPN has been a lifesaver as far as both flexibility and speed are concerned.”
The customizable dashboards have improved efficiency by allowing attorneys and staff to format screens in the way that makes the most sense to them, and the ability to create case type-specific Checklists has dramatically improved their ability to take advantage of this powerful feature.
“I can make the screen match what makes sense to me. That’s very helpful.”
While the firm didn’t necessarily measure how much time certain tasks took before Neos, the time savings the firm experienced when using it came as a pleasant surprise. For example, conducting intake directly into the platform and having it save to a case is a massive benefit for the team. Jessica also loves that the merge features allow for quick assembly of certain documents.
“Being able to conduct intake directly into the platform and have it save to a case has cut the time to set up a file roughly in half, since there’s no transferring information or duplication of effort. . .The time to assemble a typical welcome letter has decreased by up to 80%.”
Moreover, she believes the firm has only scratched the surface of the time savings associated with the document assembly features. They’re still building templates that will make generating additional documents a snap, but have already seen a real benefit.
Neos’ integrations with other applications such as Microsoft Calendar, Microsoft Office, and accounting solutions have also streamlined many processes and helped reduce errors when transferring information. Overall, the cloud-based platform and upgraded features have enabled the firm to operate more efficiently in and outside the office.
Jessica says she loves the calendar integration, which saves her from checking multiple places for information and prevents a critical event or reminder from slipping through the cracks. She also values the wide range of integration options.
“The number of integrations that work with Neos make it the clear option, as far as I’m concerned. I don’t see why you wouldn’t work with the one that knows how to work with everything else.”
She also says the ability to customize Checklists for different case types has greatly boosted productivity. In Needles, one Checklist contained hundreds of items, but not every Checklist item applied in every case. That made using the Checklist unwieldy, especially with simpler case types like PIP arbitration. With Neos, the pre-litigation checklist for personal injury cases has been whittled down from about 400 items to “a comfortable 30” (all relevant to the case type).
The firm is looking forward to future gains in efficiency as they continue to build out additional templates, Checklists, and other customizable aspects of the platform.
