New Features

Dynamic Layouts (now available to everyone!)

Previously only NeosAI Platinum users had access to Dynamic Layouts, but now they are available to users on all Neos tiers.

Dynamic Layouts are a more flexible layout option to store your case data. Add dynamic layouts to a case on the fly using the quick add dropdown or include these layouts in any case type when modifying case type layouts.

NOTE: Only NeosAI Platinum customers can manage dynamic layouts and add new layouts. Non NeosAI Platinum firms will have access to a number of pre-configured Dynamic Layouts (find the full list in Knowledge Base):

  • Examinations
  • Medical Condition
  • Treatment
  • eLaw Motions
  • And more

Why is this important?

  • This feature offers significantly greater flexibility in adding data to a case. Rather than pre-configuring every potential field and layout into a particular case type—many of which may not apply to every case—you can add these layouts only when they’re needed.
  • Add Dynamic Layouts to the current tab, as a new tab or nest within other Dynamic Layouts - greatly expanding the formats in which you can store data in Neos.
  • Reuse standardized dynamic layouts across case types, eliminating the need to manage every case type layout separately.

How it works

  • Within a case, select Quick Add>Dynamic Layout.
    • You will have the ability to add the dynamic layout as a new tab or depending on where you are in the case, the tab that you are currently in.
    • Select the dynamic layout you wish to add and where you would like to add the layout.
  • To save the layout, fill at least one of the fields and select save.
  • If added to an existing tab, the dynamic layout will be added as a new list item.
    • Add additional dynamic layouts of that same type using the “New Entry” button.
  • If added as a new tab, a new tab will be created with a flat form of that dynamic layout.
    • Select new entry to add any other dynamic layout as a list to the new tab just created.
  • Dynamic Layouts can be nested as many levels deep as you please by continuing to add new entries on existing Dynamic Layouts.
  • Bulk selecting dynamic layouts in the grid will provide the option to bulk edit or delete dynamic layouts.
  • Users have the ability to sort by any column in the grid.
  • Users can also add Dynamic Layouts to tabs in the case layout manager.
    • This will ensure that Dynamic Layouts are always added to that case type when they are created in the future.
  • Within Settings > Dynamic Layouts manage the behavior, whether a layout is active or not, the order of columns and what columns are displayed.
    • Further management of the layouts and ability to add new layouts is only available for NeosAI Platinum customers.

 

Executive Case Summary (NeosAI Platinum only)

Use NeosAI to generate a helpful case summary (including a summary of the value data in the case), eliminating the need to review each tab and document separately to get an overview. The Executive Case Summary appears in the NeosAI side pane, making it easily accessible from anywhere in the case.

 Note: Special Permission, “Show AI Case Summary in the Case Tab,” is required.

Why is this important?

The Executive Case Summary saves time by allowing users to quickly grasp the case’s content without reviewing the entire case and all related documents. Users can easily access key details and a financial overview of the case from any tab using the AI Case summary in the Tools sidebar; the Case Summary can also be emailed by using the three-dot menu in the top right of the summary.



How it works

Show Case Summary in NeosAI Tools side pane

  • Click NeosAI Tools button in the case header to open the NeosAI Tools side pane
  • New section Case in the side pane
  • In a case without a summary generated, option to Generate the case summary
    • Triggers the generation of the case summary
  • In a case with a summary generated, option to View the case summary
    • Shows the case summary in the side pane, including the state of the summary and the Financials data
    • Option to refresh the summary if changes were made to the case since it was generated
    • 3-dot menu with options to Refresh, Send as Email, Select Data Sources or Remove
  • Same functionalities as equivalent options on the Case tab



Value Subtotals

  • Open Value Subtotals directly from Case Summary section on the Case tab
  • Requires Value Tab permissions
  • Requires the case to be summarized

Add Financial Data

  • Party filter added to Value Subtotals
    • Choose "All Parties" to see subtotals from value items linked to all parties in the case
    • Choose a specific party to see subtotals related to only that party
  • Billable Time column added to Value Subtotals
    • Sub of billable time from value items of each value code
    • Format of column is dependent on the "Show time as decimal" firm preference
      • when enabled, time is shown as a decimal
      • when disabled, time is shown as "XXh YYm"
    • Open Value Subtotals directly from Case Summary section on the Case tab
    • Requires Value Tab permissions
    • Requires the case to be summarized

Inclusion of Financial Breakdowns

  • After generating a summary for a case, the Financials section will now show a breakdown of value items in the case, separated into Fees and Costs groups
  • The Uncategorized group includes value items with a Value Code with no Type, as well as Value Codes with a Type that doesn't fall into Fees or Costs
  • Fees: Attorney Fees, Fixed Fees, Time
  • Costs: Case Expenses, Damages, Debt Pay, Due to Firm, Lien, Subrogation, Travel
  • None: Client Disbursement, Escrow, Insurance, Miscellaneous, Refund, Settlement Amount, Trust



Contract Analysis (NeosAI Platinum only)

Extract data from contracts and enter them into dynamic layouts using AI, eliminating the need to read and record the data manually

Why is this important?

It reduces manual effort by placing extracted contract data into dynamic layouts, boosting efficiency and saving time.

How it works

  • New default Dynamic Layouts created
    • Contract
    • Contract Party
    • Contract Jurisdiction
  • New Document Type added, "Contract," with category, "Contract"
  • Documents added to Neos with this document type category will have a new option to run a Contract Extraction
  • Data from the document will be extracted using AI and stored in the dynamic layouts above linked to the document

Create Intakes Using Photo ID's & Business Cards (NeosAI Platinum only)

Upload a photo ID or business card to automatically populate a new intake, eliminating the need to manually type all the party data.

Why is this important?

  • Expedites the case creation process by automatically extracting data from photo IDs and business cards
  • Reduces the risk of data entry errors and ensures accuracy when populating the case information

How it works

  • The Actions menu has two new options on the Creating New Intake page: Upload Photo ID and Upload Business Card. (These are the same options available elsewhere—e.g., creating a party in an existing case or creating a new case)
  • Choose an option, upload a file, and the first party fields will be populated with the extracted data
  • Once saved, the document will be moved into the Intake's folder and linked to the first party

Extract and Create Content from Address Book (NeosAI Platinum only)

Users can now create a new contact in the address book using AI extractions.

Why is this important?

Streamlines provider onboarding: extracted fields auto‑populate the New Provider form (and its supporting document) in seconds.

How it works

  • Open the Address Book to access the new options
  • Create providers directly from Photo ID or Business Card
  • Fields in the New Provider form will be populated based on extracted data from the uploaded file
  • Fill in any remaining fields, including Provider Role (required)
  • Provider is required for the uploaded document to be stored
  • The document will appear in the Provider Documents tab once saved



Integrations

eLaw

eLaw is a web-based docketing and calendaring software used by legal professionals in New York and New Jersey. It enables attorneys to search, monitor, and manage active and archived cases, dockets, and court calendars in the trial courts of New York and New Jersey, as well as in 94 U.S. District Courts. The integration syncs court appearances and motions from those courts to the Neos case.

Why is this important?

Automatic syncing of court appearances and motions saves time managing the case, reducing manual entry, and ensuring accuracy.

How it works

 eLaw Integrations Page

  • The eLaw integration page requires an "Event Creator" account to be selected in order to Activate the integration
  • This account should ideally be an Office 365 administrator will full rights or an Outlook account created specifically for the eLaw integration. It will need to have calendar permissions in order to create appearance events for any default organizers selected on a given case.

Enhancements

  

Add Case Summary as a Data Source to AI Doc Gen/AI Chat/AI Tags (NeosAI Platinum only)

Now users can include the case summary as a data source when generating documents or when chatting with AI, so that the AI can metabolize the facts of the case without ingesting all data.

Why is it important?

Gives Neos AI an instant, high‑level view of the matter, allowing it to draft documents or answer questions without pulling every underlying data source, speeding up response times.

How it works

  • In NeosAI Chat, Case Summary Data is a new option in the + menu
  • While Generating Documents with NeosAI, Case Summary Data is a new option under Data Sources
  • While editing or adding new AI Tags, Case Summary Data is a new option under Data Sources
  • This data source is only available in cases with an Executive Case Summary generated
  • When selected, the summary will be included as context for the AI model

NeosAI Chat Enhancements (NeosAI Platinum only)

Users can ask NeosAI Chat questions specifically about a record they’re viewing by incorporating it into the case's NeosAI Chat conversation.

Why is this important

Users can ask questions about the specific note, email, or document they’re viewing, eliminating the time needed to select records manually.

How it works

  • Open the chat in a case while viewing the detail of a single record
  • User will be prompted to include the record as a data source in the chat
  • User will be able to include the record as a data source from the + menu

Case Contacts Tab

New case tab that allows users to see all contacts used in a case from a single, interactive, and actionable list, enabling them to quickly identify and reach out to contacts. This is an improvement over the related contacts side pane, which has limited information, actions and shows duplicative usage.

Why is this important?

This tab provides users with a single location to locate contacts and initiate a call, text, or email for expedient communication.

How it works

Advanced Search

A new visualization of filters in Advanced Search has been created. There is no change in filter criteria or operators; only a new design.

  • The column chooser in Advanced Search now allows you to pick from unselected columns on the left and view selected columns on the right. You can make changes to either side and save them
  • Money columns and currency columns are now aligned to the right

How it works



Advanced Search Filters

New layout when you open up a saved query

Users can now click "Edit Filters" to open the filters overlay and "Close Filters" to hide them.

  • Click on edit filters to open the query
    • Added “Show User Selections” button
    • Changed “Saved Search” to “Load Report”
    • New “Export” button
    • New “Print” button
    • Added “Save New Report” button
    • Moved “Run Search” button to the top of the search criteria
    • Delete button permanently added to each criterion
    • “Add Criteria” changed to “Add Condition Group”

Column Chooser

When you click the “Columns” button, a new box will open that allows you to select your columns

How it works

  • “Available” Columns are on the left
  • “Selected” Columns are on the right
  • Column Options are available by Primary records; click the carrot to see all the options underneath
  • The Search function will pull up everything related to the search with a checkbox next to them so you can select/deselect what you want added to the “Selected” columns
    • You can deselect by either unchecking the box or clicking the “x” to the right of the selection
  • After you have made your column selections and click “Save,” the Save Changes button will appear that allows you to save these selections

Use DocuSign Default Account

The DocuSign login the firm uses for their integration now defaults to the DocuSign account marked as the default if linked to more than one account.

Why is this important?

Previously there was no way for firms with multiple DocuSign accounts to determine which account to use when setting up the integration and a random account would be chosen automatically. Now it will choose the default account in DocuSign.

How it works

  • If the DocuSign login the firm uses to log into the integration in Neos is linked to more than one DocuSign account, then Neos will use the DocuSign account that is marked as the default
  • If the login is only linked to one account, there will be no change for the firm
  • To change the default account, Set a Default Account



Immutable Dynamic Forms and Fields for Existing AI Extractions

Created dynamic forms and fields for existing AI Extractions that are not editable.

  • For AI Extractions and eLaw Integrations

Why is this important?

Ensures data integrity—locking the default forms and fields prevents accidental edits or deletions that would break AI extraction mappings and eLaw integrations.

How it works

  • These default types and fields cannot be deleted or renamed
  • They will appear in the normal lists with a tooltip
  • They can be used by firms like any other types/fields

Small Enhancements



  • The "My Staff Profile" special permission will be set to "Explicit Allow" for the "Administrator Role" permission group.
  • A new option called “LSS-SW10” has been added when downloading an invoice. Using this option, a new dropdown called “Claim” appears, displaying all claims for that case.

    • LEDES Billing must be enabled.
  • The DTF checkbox in the interest calculator will now be available only if the value code chosen in the 'save as value' dropdown has DTF active.
  • The Staff mention notifications from checklist item notes are now working.
  • When sending a new email from a case you are now able to select Case Staff and Contacts from the To dropdown to add staff members.
  • Under a Value Entry Detail, UTBMS Expense E Codes have been added.
  • Added two new options to Firm Preferences > Time and Billing: Division Name and Division Office, which can be mapped to the LSS-SW10 Bill export. It has a 250-character limit.  
  • When summarizing or including a long document in a NeosAI Chat conversation, the system will now correctly limit the text to stay within the model's limits. (Requires NeosAI Platinum). Text will be truncated to fit within the limits.

    • For document summaries, text will be truncated from the end

    • For NeosAI Chat, text will be truncated from the beginning (older messages in the conversation will be lost)

  • Users can select the Type, Category, and/or analyze with NeosAI (if they have NeosAI Platinum) when uploading a file from their local machine.

    • The following workflows were updated:

    • Note - add attachment

    • New email - add attachment

    • Related Documents - add related document

  • When sending an email from Neos, users can select case staff with email addresses as recipients:

    • The To, CC, and Bcc searchable dropdown fields now have Contacts and Staff sub menus

    • Contacts: displayed in the same way (all related contacts with email addresses)

  • Staff: displays all staff (with email addresses) that are assigned to a staff role on the case

  • Users can view accident drivers, passengers, and owners in the case contacts tab grid and the stamps workflow. Please refer to the Knowledge Base for the new primary case involvement hierarchy.

  • There is a new modal which allows users to add items to the primary and secondary User Mini Directory Lists

  • Updated Group Permissions Staff List and Selection Experience (refer to Knowledge Base for the full update list)
  • Notes Tab has been fully redesigned to incorporate input from our users:
    • General

    • Value

    • Email

    • NeosAI Chat

    • Postage

    • Text Messages

    • Phone Calls



Improvements and Updates



  • UX enhancements to the following: User Mini Directory, Group Permissions Staff List and Selection, and the Integrations Page.
  • Redesigned the Settlement Calculator to right-align all money columns and changed "reduce all" to an icon. The money columns in estimate reductions were also right aligned.
  • When deleting timers, the list is now correctly refreshed to display the latest details.
  • Users can now edit text easily in the PDF Editor for any text based pdf.
  • The LEDES Export now correctly pulls the billing start and end dates.
  • The ability to change the template sources for both Word and PDF files has been removed. The field is now grayed out when editing templates.

  • Integrations Page:

    • We have regrouped the Connected and Not Connected statuses into Live and Available groups, respectively.

    • We added a grey counter to each group to display the number of Active and Inactive integrations.

  • Swapped Name Field on Postage: The contact's full name will now be used for the destination address name line for postage created by the integration

    • [Prefix] [First] [Middle] [Last] [, Suffix]

    • Example: Mr. John Q. Doe, Esq.

    • Postage notes will reflect the new full name layout
